At WEP Clinical, we’re looking for a Logistics Specialist to support the coordination and execution of our global logistics operations. Role Objectives:
The WEP Clinical Logistics Specialist plays a key role in managing the import, order processing, dispatch, and export of WEP-managed programs. This role ensures all logistics operations meet customs, regulatory, and quality requirements. Acting as the supply chain point of contact and subject matter expert, the Logistics Specialist works to streamline distribution and oversees freight partners to ensure the timely, compliant delivery of temperature-sensitive products to healthcare providers and sites.

What You'll Do:

  • Review Drug Supply Plans to determine appropriate supply routes to healthcare providers and countries included in each program.
  • Set up the Inventory Management System, including registering suppliers, customers, products, shipping instructions, and document templates.
  • Manage Depot Project Instructions (DPIs) and deliver project-specific warehouse training when needed.
  • Coordinate with external supply chain partners (e.g., 3PLs, CMOs, in-country agents) for program kick-off, sourcing quotes, and operational setup.
  • Provide project teams with clear instructions on local shipment requirements and attend client calls as the supply operations expert.
  • Share detailed shipping process information and required documentation (invoices, certificates, etc.) with external vendors in advance of shipments.
  • Process sales orders by updating the Inventory System, arranging freight shipments, and handling proof of delivery (PoD) and temperature printouts.
  • Review shipment documentation, request corrections when needed, confirm completeness, and approve shipments for release.
  • Serve as the main point of contact for shipment and customs issues, ensuring smooth coordination among internal teams and external contractors.
  • Maintain and update supply chain documentation within the electronic Quality Management System (eQMS).
  • Support vendor management through performance reviews, reconciliation, and coordination of vendor payments when applicable.
  • Ensure all logistics processes comply with regulatory, customs, and quality standards throughout the program lifecycle.

What You'll Need:

  • Bachelor's Degree in operations management, a science-related field, or equivalent.
  • Prior experience in employment, education, knowledge, and skills in logistics coordination.
  • Proven track record in supply chain management, project management, or logistics within the life sciences or pharmaceutical industry.
  • Experience in managing global freight forwarders, specialty couriers, and external fulfillment sites.
  • Familiarity with Good Manufacturing Practices (GMP), Good Distribution Practices (GDP), and International Air Transport Association (IATA) requirements.
  • Strong project management skills.
  • Computer literacy and proficiency in Microsoft Office.
  • Ability to collaborate with cross-functional teams on new process projects, incident investigations, root cause analysis, and process improvements.
