Company Summary:

VQ Biomedical, based in the Research Triangle Park area of North Carolina, is an early-stage medical device company focused on developing an innovative central venous catheter which delivers oxygen directly to the bloodstream in critically ill ICU patients suffering from lung injury and respiratory failure. VQ is developing the first minimally-invasive alternative to mechanical ventilation and ECMO (extracorporeal membrane oxygenation) that is capable of delivering supplemental oxygen independent of the injured lungs allowing them to heal, rest, and recover.

Position Summary:

The Office Manager / Grant Administrator plays a vital role in maintaining an organized and efficient workplace, enabling all team members to perform at their best. This highly collaborative position involves regular interaction with both staff and leadership across a wide range of functions. Physical presence is required, as many responsibilities require in-person support and coordination.

Duties and Responsibilities:

  • Maintain and update electronic filing systems and document control processes
  • Provide logistical and planning support for R&D lab activities including scheduling, materials sourcing and coordination
  • Prepare and submit invoices and documentation for government contrats
  • Perform data entry and analysis related to lab activities
  • Support routine administrative needs including handling mail, ordering office supplies, coordinating travel, scheduling meetings
  • Assist with product ordering and accounting processes as needed
  • Assist with expense reports and receipts
  • Coordinate with IT providers to manage hardware and software assets, track equipment and prepare workstations for new hires
  • Support executives with calendar management and travel arrangements
  • Format presentation and meeting materials
  • Maintain lab organization and supplies
  • Perform a variety of administrative tasks to support the evolving needs of the company

Skills/ Qualifications:

  • Bachelor’s degree (BS or BA) preferred
  • Minimum of 5 years of relevant office management experience, preferably in a fast-paced small business or startup environment
  • Exceptional organizational, communication, and planning skills
  • Proven ability to manage multiple priorities and meet deadlines under pressure
  • Strong multi-tasking and problem-solving abilities
  • Proficiency in Microsoft Office, cloud-based file storage and Google workspace
  • Familiarity with government contracts grant process
  • High level of integrity and ability to handle confidential information
  • Strong customer service orientation and proactive approach to problem-solving
  • Prior experience in a startup environment is a plus

Other requirements:

  • Ability to lift items up to 20 pounds
  • Ability to sit for extended periods
  • Able to meet hospital credentialing requirements
