This position is responsible for designing and administering corporate payroll activity and maintaining related employee records, processing 3 payrolls (Verdesian, Salt Lake City and Canada) biweekly and International through DEEL system monthly. This position is also responsible for the review and timely filing of all monthly, quarterly, and annual payroll tax returns and employee W2 forms and Canadian T-4s.

Essential Responsibilities:

  • Ensure timely and accurate payroll processing via effective coordination with third-party payroll provider, currently UKG Pro system and DEEL; including the proper processing of payroll data such as leave time, hours worked, shift differentials, pay adjustments, deductions, etc.
  • Ensure timely payment and filing of federal and state payroll taxes and returns.
  • Respond to government agencies on wage and payroll tax matters.
  • Collaborate with the HR and Finance teams to develop company policies regarding payroll, including a structured change-approval process.
  • Collaborate with managers to maintain policy compliance.
  • Address employee inquiries related to payroll, paid time off (PTO), and deductions in a timely and professional manner.
  • Issue and record adjustments to pay in relation to previous errors or retroactive payroll actions.
  • Post payroll and benefit expenses, including cost center allocations, to the general ledger.
  • Deliver requested reports and relevant data to the Vice President of Human Resources in a timely and accurate manner.
  • Monitor and reconcile payroll transactions to identify discrepancies and ensure accuracy of records. Assist in the implementation of new payroll-related systems and procedures to enhance efficiency and compliance.
  • Always keep payroll and personal data confidential, following company policies and laws. Collaborate with internal audit teams to ensure payroll processes are compliant with regulatory standards and best practices.
  • Responsible for managing 401k Plan fiduciary duties in coordination with HR team members, the CFO, and representatives from the 401k Plan vendor.
  • Responsible for SOC reporting.
  • Other duties not listed above as assigned by immediate supervisor.

Criteria:

  • High level of proficiency with MS Office (Word, Excel to include Pivot tables knowledge and experience, PowerPoint, Outlook)
  • Knowledge and experience in the UKG Pro Payroll System and reporting
  • Excellent interpersonal, verbal/written, organizational skills
  • Strong attention to details
  • Ability to manage multiple activities and prioritize independently
  • Self-motivated with a focus on process improvements
  • Must maintain a high level of confidentiality with employee information
  • A keen customer service mentality
  • Ongoing professional development is essential to remain informed of changing payroll regulations

Qualifications:

  • 5 years payroll administration experience; human resources experience a plus
  • Bachelor’s degree in business, Accounting or Human Resources or equivalent experience
  • Strong grasp of multi-state payroll concepts and payroll systems, experience with Canadian payrolls and laws
