In NC, we operate three pharmaceutical manufacturing facilities that are responsible for fulfilling different steps in our injectable and oral treatment supply chains. Our newer Active Pharmaceutical Ingredients (API) facility in Clayton, NC sits on 825,000 square-feet of state-of-the-art equipment, and houses the Fermentation, Recovery and Purification in the production of ingredients for Novo Nordisk’s innovative oral products. The Position

Responsible for providing clerical, administrative & process support. Assist the Director and/or Department Leadership Team in document controlling, scheduling, meeting logistics, travel coordination, presentation development, & KPI tracking, etc.

Relationships

Reports to Director, Vice President.

Essential Functions

  • Provide administrative support to the Department Leadership Team including but not limited to preparing agendas and minutes and managing their calendars
  • Reconcile expenses and ensure expense reports are completed in a timely manner
  • Plan off site events, workshops, team buildings events, parties and holiday gatherings etc. for the department
  • Work with external food vendor to ensure catering is provided for events where applicable
  • Assist in managing the department’s SharePoint page
  • Actively participate in peer-to-peer mentorship with other Operations Assistants
  • Support with production documentation creation & distribution where applicable
  • Manage administrative projects to ensure they are completed properly and in a timely manner
  • Lead Good Housekeeping in administrative areas
  • Prepare board meetings and various presentations on behalf of the department and lead the preparation of management and department meetings
  • Attend admin meetings and cross functional tasks and collaboration
  • Handle inquiries and requests from internal and external parties in a professional and timely manner
  • Oversee office supplies, equipment and facilities to ensure day-to-day operations run efficiently, while continuously improving processes using cLEAN tools
  • Follow all safety & environmental requirements in the performance of duties
  • Other duties as assigned

Physical Requirements

Ability to work in an open office environment with the possibility of frequent distraction. Ability to travel up to 10% of the time (% can change on a case-by-case basis based on the role).

Qualifications

  • High School Diploma or equivalent required
  • Associate's Degree in Business, Office Administration, or relevant field of study from an accredited university preferred
  • Minimum of two (2) years of experience as an Administrative Assistant or Production Coordinator required
  • Ability to read, write and understand complicated production & GMP documentation a plus
  • Demonstrated proficiency in Microsoft applications (Word, Excel, Access, PowerPoint, Outlook, etc.) required
  • Written & verbal communication skills to allow interaction will all levels of operations & management preferred
  • Ability to organize GMP related documentation with exceptional attention to detail a plus
  • Demonstrated ability to anticipate project needs to ensure all required assistance, support systems, & documentation is available preferred
