We are seeking a highly organized and proactive Office Experience & Executive Support Manager to oversee all aspects of office operations and provide high-level administrative support to executive leadership within the North American region. This role will manage two part-time receptionists, lead office-related initiatives, and partner closely with the Executive Assistant to the President to ensure seamless coordination across leadership priorities and office functions.

Key Responsibilities:

Office Management

  • Own and manage all office-related operations, including facilities, supplies, vendor relationships, and space planning.
  • Lead execution of office events, including employee engagement activities, leadership visits, and company-wide meetings.
  • Ensure a professional, welcoming, and efficient front office experience in partnership with reception staff.
  • Serve as backup coverage for reception during absences or peak periods.
  • Partner with Human Resources to develop and maintain office policies and procedures.
  • Manage the office operations budget, including tracking expenses, forecasting needs, and ensuring cost-effective solutions across vendors and services.
  • Submit and manage purchase orders for office-related needs, ensuring timely processing and alignment with budgetary guidelines.
  • Oversee contract management for office vendors and executive services, including renewals, compliance, and documentation.

Team Leadership

  • Directly manage two part-time receptionists, providing coaching, development, and performance feedback.
  • Oversee day-to-day operations of the front office team, ensuring coverage, professionalism, and alignment with business needs.
  • Approve timecards and manage PTO schedules to maintain consistent front desk coverage and operational continuity.
  • Foster a collaborative, service-oriented culture that reflects the values and standards of the organization.

Executive Support

  • Provide administrative support to executive leadership, including calendar management, travel coordination, expense reporting, and meeting logistics.
  • Partner closely with the Executive Assistant to the President to align on priorities, coordinate leadership schedules, and support strategic initiatives.
  • Support NALT members with purchase orders and contracts as needed.
  • Support coordination of NALT meetings as well as off site team meetings for NALT members and their direct reports.

Event Planning & Execution

  • Plan and execute office-wide events, including holiday celebrations, town halls, and employee appreciation activities.
  • Coordinate logistics, vendors, communications, and budgets for all office-related events.

Qualifications:

  • 7+ years of experience in office management, executive support, or related administrative roles.
  • Proven ability to manage teams and lead office operations with professionalism and discretion.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in Microsoft Office Suite and other relevant tools.
  • Ability to work with highly confidential information.
