POSITION SUMMARY:

The Executive Admin & Receptionist is responsible for providing administrative services and support to the Raleigh site leadership team. This individual will be responsible for administrative functions, including scheduling and calendar management, project support, travel and meeting arrangements, ensuring excellent interactions with other departments and leaders throughout the company. This individual is also responsible for site visitor/main entrance lobby receptionist duties including but not limited to answering phones, forwarding calls to appropriate parties, relaying messages, greeting visitors & guests, creating identification badges, scheduling meeting & travel, updating procedures, scheduling & documenting training, filing & managing production documentation, sorting mail, receiving packages, assisting with conference room bookings and providing a positive impression of the Company.

This position will report to the Raleigh site Director & work daily to support Raleigh site leaders in Manufacturing, Quality, & Corporate functions at the Raleigh site.

ESSENTIAL FUNCTIONS:

The responsibilities of this role include, but are not limited to, the following:

  • Manage calendars, meeting arrangements, & travel arrangements
  • Maintain & file Production documentation
  • Assist with coordinating schedules, communication, and activities across the Raleigh site
  • Manage errands, logistics, and travel arrangements (including relevant paperwork) to ensure a harmonious experience
  • Maintain office supplies as well as general oversight of site housekeeping
  • Support and management of POs (Purchase Orders), invoicing for third party vendors (SAP), including engaging with vendors as needed to ensure timely and accurate invoicing
  • Answer incoming calls, screen and direct calls accordingly
  • Greet visitors and provide information and assistance
  • Assist visitors in registering and printing badges
  • Order supplies including all general and special-order office supplies, FedEx supplies, and mailing supplies
  • Order business cards based on request
  • Receive and log in-coming packages and deliveries, notifying recipients
  • Collect and sort all incoming mail and post all outgoing mail and deliver to outgoing mail receptacle
  • Other duties as assigned

MINIMUM QUALIFICATIONS:

  • Education: Bachelor’s degree from an accredited university required, or equivalent combination of education and experience
    • Associate’s degree from an accredited university with minimum two (2) years of experience in professional administrative roles required
    • High School diploma with minimum four (4) years of experience in professional administrative roles required
  • Required: Computer Skills (MS Office suite, Outlook/email)
  • Preferred: Concur, iCertis, Visio, SharePoint
