Position Purpose:

The Inside Sales and Logistic Specialist will serve as the interface between our Sales, Distributors, and various channels, manufacturing and accounting. They will take and track orders, POs, Control bills and various reporting in our ERP/CRM system.

Requirements

  • Bachelor’s degree or equivalent work experience
  • 3-5 years of related work experience
  • Proficient in understanding accounting software and customer resource management tools (ERP/CRM)
  • Strong written and verbal communication skills
  • Strong organizational skills and attention to detail
  • Ability to set, prioritize and manage all projects and job duties to reach department goals and objectives
  • Knowledge and ability to use Excel, Word and Power Point
  • Must be self-motivated and able to work both independently and in a team
  • Work experience in inside sales and or logistics related role
  • Work experience in an admin related role
  • Inside sales: 1 year (Preferred)
  • Administrative: 1 year (Preferred)
  • Logistics: 2 years (Preferred)
  • E-Commerce: 2 years (Preferred)
  • Experience with Import/Export Logistics: 1 year (Preferred)

Key Responsibilities

  • Interacting with B2B customer base to accept orders and coordinate logistics daily, both domestically and internationally
  • Enter, review, process, and confirm distributor sales orders.
  • Effectively and clearly communicate changes in orders, products, and schedules to customers.
  • Tracking orders and sharing updates with the clients and Farmina Sales Team.
  • Enter purchase orders related to both the purchase of the goods to be ordered by Farmina USA for both container and warehouse sales orders and communication with the US warehouse and/or Manufacturing facilities
  • Control bills related to purchase orders and coordinate proper recording with the accounting department.
  • Work with E-commerce accounts such as Chewy, MWI, Vetcove, and others, via EDI and other electronic processing platforms.
  • Vet clinics & Breeder direct orders with Farmina, processing, client communication coordination with warehouse and logistic partners.
  • Maintain records for all orders processed and communication with the manufacturing team and clients.
  • Assisting in the quality check process (checking packing list matches customer’s order).
  • Coordinating with Farmina Accounting to have customers invoiced in a timely manner
  • Process and submit Distributors credit memos/bill backs and check for final approval.
  • Coordinate with Logistic partners, manufacturer shipping office, distributor receiving department and brokers for timely tracking and delivery of the container and LTL orders.
  • Coordination with the Accounting department for credit memos, bills, and invoices related to the sales orders and purchase orders.
  • Administrative functions related to the B2B client services and assist other departments with administrative tasks such as, but not limited to, answering phones, assisting customers, and maintaining customer files.
  • Prepare and distribute weekly and monthly sales and shipment tracking reports
  • Daily use of Excel and Microsoft Dynamics Nav
  • Knowledge and ability to use Word, PowerPoint and Excel
  • Must be self-motivated and able to work both independently and in a team as needed.
  • Attention to detail and accuracy of work are critical to the success of this role.
