Summary:

This position is responsible for the strategic direction and day-to-day operation and oversight of all corporate office, facility, and warehouse functions for Cotton Incorporated’s World Headquarters location in Cary, North Carolina as well as a leased office space in New York City. Responsibilities include overseeing the staff and activities within the Corporate Office & Facility Services department, sourcing and managing vendor relationships, providing project management services for all facility-related projects, and overseeing all office and physical asset inventory, building and grounds maintenance, corporate travel programs, safety programs, and building security. Core Functions:

• Direct the corporate office service activities for the Cary and New York offices including but not limited to: mail and shipping, building access and visitors, security of premises, building and grounds maintenance, office and asset inventory, office allocation/furniture, kitchen/break room supplies, trash/recycle, and the corporate travel and safety programs

• Direct the facility service activities for the Cary office and to some extent the New York office (a rented space) including but not limited to: facilities maintenance, equipment maintenance, and upkeep of building systems (HVAC, electrical, plumbing, fire alarm, etc.)

• Support and direct the Manager, Facility Services in responding to daily requests and inquiries associated with campus building systems and repairs

• Oversee daily needs, requests, and inquiries associated with the office services, logistics, and general soft services (landscaping, janitorial, etc.)

• Develop and negotiate RFPs for required service/maintenance contracts including but not limited to: building mechanical and environmental systems, structural maintenance, janitorial, landscaping, security services and patrols, interior plants, elevator service, pest control, and office furniture suppliers

• Support the Manager, Facility Services when working with facility services vendors; consult to develop effective solutions for complex problems; continually assess performance of contracted vendors to improve on-site services

• Liaise with building management for the New York office regarding upfitting, maintenance requests, modifications, and inspections in conjunction with NY-based Office Services Assistant

• Direct and administer various company safety programs and ensure compliance with all required corporate safety trainings and procedures

• Direct and oversee the company travel program to include vendor management of travel and rental car agency programs as well as communication to employees

• Serve as the point of contact for response, monitoring, and questions regarding travel security services

• Respond to situations requiring immediate attention to include 24/7 alarm and building security matters, among other potential facility-related issues

• Schedule and oversee building inspections of maintainable building systems

• Create and maintain a 5, 10, 15+ year budgeted replacement plan for buildings and grounds

• Create and implement Standard Operating Procedures for office and facility-related functions

• Maintain multi-million-dollar budget projections through invoice reconciliation and approval

• Participate in decision-making regarding inclement weather procedures and manage employee notification

• Oversee warehouse operations for the Cary facility in conjunction with the Coordinator, Warehouse Operations

• Adequately manage, train, and develop departmental staff members and ensure appropriate departmental coverage at all times

• Contribute to various projects as assigned

Job Requirements:

• Bachelor’s degree in business management, engineering, or a related field

• Certification in facility management, strongly preferred

• 10+ years’ experience in office services and facility / warehouse management (building and grounds maintenance)

• Supervisory experience, preferably with staff in multiple locations

• Experience with vendor management (construction, maintenance, equipment, and services) including proper RFP creation, bidding, and selection processes

• Experience with office systems, software, and equipment (i.e. security monitoring, fax, copiers, postage, scales)

• Strong knowledge of building systems and equipment (HVAC/plumbing/electrical)

• Strong knowledge of building grounds and facility maintenance subjects, machines, and equipment

• Strong project management skills with ability to manage multiple projects at once and prioritize as necessary

• Ability to learn new systems, machines, and equipment

• Ability to anticipate and project future facility repairs, replacements, and maintenance needs

• Ability to anticipate challenges and develop contingency plans when necessary

• Ability to read and understand building drawings

• Ability to use creative thinking to arrive at solutions for specific challenges in facilities

• Ability to represent the company in a credible and professional manner

• Professional written and verbal communication (with a demonstrable quality of work)

• Strong organizational skills and a strict attention to detail

• Knowledge of budgeting processes including invoicing/billing procedures

• Superior customer service skills in addition to professional enthusiasm

• Ability to interact with various audiences and with multiple levels of people via e-mail, in-person, and telephone

• Proficiency in Microsoft™ Office Suite

• This position requires domestic travel up to 5% of the time

Working Conditions / Physical Demands:

• General office environment with quiet to moderate noise level

• Varied working conditions due to time spent in warehouse, laboratories, or other areas inside/outside of the property

• Regularly required to sit and use hands to type and grasp, with frequent standing, walking, and bending/twisting at the neck/waist

• Frequently required to push, pull, and reach above/below shoulder level

• Frequently required to lift and/or carry up to 50 pounds

• Frequently required to have face-to-face and telephone interaction with internal staff and external contacts
